Information we collect

We may collect account information, country and work-eligibility information, qualifications, professional licences, certifications, work experience, skills, languages, career preferences, application stages, feedback and notification preferences. If you choose to upload a CV, the file is stored privately. An essential first-party browser marker helps the sign-in page use appropriate new- or returning-visitor wording; it does not use your IP address to identify you.

How we use your information

We use confirmed profile information to calculate Role IQ, rank and explain opportunities, maintain your career inbox and application tracker, send alerts you have opted into, prevent misuse, troubleshoot the service and improve recommendation quality.

CVs and application preparation

A CV upload is optional and does not change your matching profile by itself. If you choose Analyse CV, your current CV is sent securely to OpenAI to extract career information for your review. The extraction can retain your name, email, phone, location and professional-profile link from your CV header for use in your documents. It is instructed to omit identity numbers, licence numbers, dates of birth and referee contact details. Please remove unnecessary sensitive information, including patient information, before uploading.

Only career suggestions you approve are added to your matching profile. When you request an Application Studio review or cover-letter draft, relevant approved career evidence and vacancy information are sent to OpenAI for drafting and evidence checks. You review and edit the result before using it. We store the resulting extraction, review, evidence snapshot and documents so you can return to your work.

Employers and third-party vacancies

You complete applications through the original employer website. We do not give employers access to your private profile or CV simply because you view, save or follow a vacancy link. Saving or marking a role Applied does not submit your documents.

Email and WhatsApp alerts

Opportunity alerts are opt-in. You can change notification preferences in Settings. A WhatsApp number is collected only when you request WhatsApp alerts.

Service providers and international processing

We use trusted technology providers to host, secure, analyse and operate HealthRoleIQ. Depending on where you live and where those providers operate, information may be processed in another country. We limit provider access to what is needed to deliver the service and only send a CV for AI analysis when you initiate that feature.

Data sharing and sale

We do not sell your personal profile data to employers or advertisers. We may disclose information when required by law, to protect the service or users, or to service providers acting on our behalf under appropriate controls.

Service improvement and support

We record limited activity such as the type of page visited, search-result counts, selected catalogue filters, processing outcomes and helpfulness feedback. Signed-in activity can be associated with an internal account identifier to understand the user journey and improve coverage and reliability. Our usage-event records exclude CV contents, application text, raw search text, email addresses and support-message contents. We do not use session recordings or automatic form-content capture.

Support messages and replies are stored separately and accessed by authorised staff to respond to you. Short-lived hashed request identifiers help limit spam and misuse. Detailed usage events are retained for up to 90 days; request-limit records are retained for up to two days. We use aggregate trends and reviewed feedback to improve the service, rather than automatically turning your conversations into new profile facts or training a shared model.

Your choices

You can correct your profile and notification settings within HealthRoleIQ. You may also contact us to request access, correction or deletion of personal information, subject to legal and operational retention requirements.

Security and retention

We use access controls and private storage for CVs and credentials. No online service can guarantee absolute security. We retain information for as long as needed to provide the service, maintain legitimate records and meet legal obligations.
